How the projected headcount is built
Anyone you have not heard from is counted as pending, then a share of them is assumed to accept:
pending = invited - yes - no
response rate = (yes + no) / invited × 100
projected = yes + pending × (acceptance rate / 100)
The page opens on 150 invited, 60 yes, 15 no and an acceptance rate of 80% - that is the assumption doing the work, and it means a 20% decline rate among everyone still silent. Those numbers give 75 pending, 60 of them projected to come, a 50.0% response rate and 120 expected guests. Drop the rate to 60% and the projection falls to 105.
Choosing an acceptance rate you can defend
The 80% default is optimistic, and it is the one field you should change first. What actually turns up depends on the wedding:
- Local, mostly family and close friends: 80-90% is fair.
- Mixed guest list with out-of-town travel: 70-75% is safer.
- Destination or long-haul wedding: 50-60%, sometimes less.
- Silence late in the process: guests who have not replied after the deadline decline far more often than early responders, so lower the rate as the date closes in rather than keeping it fixed.

How do I work out my RSVP response rate?
Divide the replies you have - yes and no together - by the number invited. With 60 yes and 15 no out of 150 invited, that is 75 of 150, or 50.0%.
When should I give the caterer a final number?
Most contracts want a guaranteed count 7-14 days out, and you pay for it whether or not those people arrive. Use the projection for planning up to that point, then hand over your confirmed yes count plus any pending guests you have personally chased.
